Venue is available for setup and decorations from 17h (evening functions) or from
08h (day functions). (Unless discussed otherwise, if not booked for an earlier event.)
Cut-off time is 24h. After 24h an overtime rate of R 650 per extra hour applies. (Kindly
note no overtime will be allowed unless fully paid for in advance.)
After 24h we also kindly ask you to turn down the music to background level, to ensure
our hotel guests a peaceful nights' sleep. Failure to that Villa Africa Boutique
Hotel reserves the right to end the function with immediate effect
Décor must be removed by 09h the following morning. (Unless discussed otherwise.)
The breakages fee for all party packages is R 2500.
The breakages fee will be retained for the following reasons:
* damage/losses to the venue or any other areas of Villa Africa Boutique Hotel;
* not clearing the venue or turning the music down at midnight;
* not adhering to the rules as stipulated in this Agreement.
Should there be no damages or breach of contract suffered by Villa Africa Boutique
Hotel, the deposit will be refunded to the organizer within 7 days after the function
A list of replacement cost per item can be provided by your events
coordinator upon request.
Wines and champagnes that are not on the Villa Africa Boutique Hotel wine list may
be brought in with a corkage fee of R 50 per bottle of 750 ml, after consulting your
Any other drink brought onto the premises will be confiscated. An additional
amount of R 50 will be charged for each and every beverage not purchased at the
Villa Africa bar.
Our kitchen team is very flexible and will listen to your needs and tastes, as well as
Halaal-friendly catering is possible if requested beforehand; halaal-strictly catering
unfortunately not due to our non-halaal kitchen.
Waiters & service time
Included in the venue hire is +- one waiter per 25 guests.
Extra waiters or dedicated waiters per table are available upon request at a charge
of R 55 per waiter per hour (minimum of 6 hours service).
The requested service times for starter, main, dessert (maximum of 3 hours from starter to
end of service) will be discussed with the events coordinator and noted in the events
contract. Should there be extension or delay of the agreed service times, an extra
charge of R 55 per waiter per hour applies.
The events contract stipulates all the goods and services that will provided by Villa
Africa Boutique Hotel on the event, as well as agreements on timing, setup etc.
All catering and other requests, as well as the final number of guests, are to be confirmed
at least 7 working days before the event and included in the events contract.
A copy of the events contract is to be signed by both parties well before the event.
Your booking is secured only after payment of 100% of the venue hire fee.
50% of the estimated total bill is to be paid at least 15 days before the event.
The remaining balance of the total bill is to be settled at least 5 days before the event.
Villa Africa Boutique Hotel reserves the right to cancel the event should the payments
not be made in time as indicated above.
All bar tabs (if any) are to be settled on the day of the function before the end of the
The deposit of the venue hire fee is non-refundable in case of cancellations, irrespective
of time period.
When cancelling less than 21 days before the event, the charge is 50 % of the total bill.
When cancelling less than 15 days before the event, the charge is 75% of the total bill.
When cancelling less than 7 days before the event, the charge is 100% of the total bill.
Risks, losses and damages
Villa Africa Boutique Hotel, its employees or any person employed at any function will
not be held liable for any loss, or injury to persons, due to negligence or any other
Villa Africa Boutique Hotel will not be liable for loss or damage to any property whatsoever.
Villa Africa Boutique Hotel does not accept liability for loss or damage of any décor
item or personal belonging.
